Latitude Escapes respects your privacy. This Privacy Policy explains what personal information we collect when you visit our website, contact us, request or make a direct reservation, sign a rental agreement, communicate with us, or stay at the property. It also explains how we use, share, protect, and retain that information.
This policy applies to the Latitude Escapes website where it is posted and to related direct-booking activities. Third-party services such as Hostaway and Stripe maintain their own privacy policies and may process information under their own terms.
1 Information We Collect
We collect information that you provide, information generated through a reservation or stay, and limited technical information collected when the website is used.
• Contact information. Your name, email address, telephone number, mailing or billing address, and preferred method of communication.
• Reservation information. Requested and confirmed stay dates, number and names of guests, pet information, special requests, arrival details, booking source, and related communications.
• Agreement and transaction records. Rental agreements, electronic signatures, invoices, payment status, refunds, security deposits, fees, and records related to a reservation.
• Payment information. Payment-card information is submitted to third-party payment processors. Latitude Escapes generally receives transaction records and limited payment details, such as card type and last four digits, rather than the complete card number.
• Communications and voluntarily provided information. Messages, attachments, reviews, feedback, preferences, celebration or concierge requests, and other information you choose to provide.
• Website and device information. Internet Protocol address, browser and device type, operating system, dates and times of access, referring pages, pages viewed, interactions with the website, and cookie or similar technology information.
• Property security information. Exterior security cameras and property-access systems may record images, video, dates, times, entry activity, or similar information in outdoor or access areas.
2 How We Collect Information
We may collect personal information:
• directly from you through inquiry forms, booking forms, email, telephone, text message, rental agreements, waivers, payment activity, and communications before, during, or after a stay;
• automatically when you use the website, including through cookies, logs, and similar technologies;
• from booking, payment, and property-management providers such as Hostaway and Stripe;
• from a person who makes a reservation on your behalf or includes you as a guest; and
• from service providers or public sources when reasonably necessary to manage a reservation, protect the property, prevent fraud, or comply with law.
3 How We Use Information
We may use personal information to:
• respond to inquiries and provide quotes;
• process, confirm, modify, and administer reservations, payments, refunds, agreements, deposits, and waivers;
• communicate check-in information, property instructions, service updates, safety notices, and other reservation-related messages;
• coordinate approved services such as cleaning, maintenance, concierge requests, grocery stocking, celebrations, photography, or other guest-requested arrangements;
• operate, maintain, secure, personalize, and improve the website and guest experience;
• protect guests, the property, Latitude Escapes, and others; enforce agreements and house rules; investigate damage, misuse, fraud, safety issues, or disputes;
• maintain accounting, tax, insurance, legal, and business records;
• comply with legal obligations and respond to lawful requests; and
• send promotional communications when you request them, consent to them, or when otherwise permitted by law. You may opt out of promotional email at any time, although reservation and service messages will still be sent when necessary.
4 When We Share Information
We do not sell or rent personal information. We may share information only as reasonably necessary for the purposes described in this policy, including with:
• Booking and property management providers. Hostaway and connected services that support the website, reservations, guest communications, agreements, and property operations.
• Payment providers. Stripe and other providers that process charges, deposits, refunds, fraud screening, and payment records.
• Property and guest service providers. Cleaners, maintenance professionals, contractors, property managers, approved concierge vendors, and other providers who need limited information to perform requested or necessary services.
• Professional advisers. Accountants, attorneys, insurers, financial institutions, and other advisers when reasonably necessary.
• Legal and safety recipients. Government agencies, courts, law enforcement, emergency services, insurers, or other parties when required by law or reasonably necessary to protect rights, safety, guests, or property.
• Business transactions. A potential or completed buyer, successor, lender, or adviser in connection with a sale, financing, reorganization, or transfer of the property or business, subject to appropriate confidentiality measures.
Service providers may use information only as permitted by their agreements, their own privacy notices, and applicable law. We do not authorize third parties to use guest information for their unrelated marketing.
5 Hostaway Stripe and Other Third Party Services
The website and direct-booking process rely on third-party technology. Hostaway may process contact details, property and booking information, stay dates, payments, reviews, messages, tasks, technical data, and similar reservation information. Stripe may process payment credentials, transaction information, device information, and fraud-prevention data. These providers may process or store information in the United States or other countries as described in their own privacy policies.
Latitude Escapes is not responsible for the independent privacy practices of a third-party website or service. Please review the privacy policy presented by each provider if you want more information about its practices.
6 Cookies and Website Technologies
The website and its service providers may use cookies, pixels, logs, and similar technologies that are necessary to operate and secure the website, remember preferences, understand website performance, and support booking functions. These technologies may collect device and usage information such as an IP address, browser type, pages viewed, and time of access.
Your browser may allow you to block or delete cookies. Blocking necessary cookies may prevent parts of the website or booking process from working properly. If Latitude Escapes later adds optional advertising or analytics technologies that require consent, the website will provide any notice or choice required by applicable law.
7 Payment Information
Payments are processed through third-party payment providers rather than directly stored by Latitude Escapes. We may retain invoices, transaction identifiers, payment status, refund records, card type, limited card information, and other records needed to administer the reservation, maintain accounts, handle disputes, and comply with legal obligations.
8 Exterior Security Cameras and Property Access
Exterior security cameras may monitor outdoor or access areas for safety, security, occupancy verification, investigation of damage or rule violations, and protection of guests and property. Latitude Escapes does not use surveillance cameras in private interior living areas. Camera recordings may be reviewed or shared when reasonably necessary for those purposes, for an insurance matter, or in response to a lawful request.
Access systems may also record door-code activity, dates, times, device events, or similar access information. Guests may not cover, disable, move, or interfere with cameras, locks, or safety and security devices.
9 Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this policy. The retention period depends on the type and sensitivity of the information, the reservation or business need, legal and accounting requirements, insurance and dispute periods, security considerations, and whether the information is held by a service provider.
When information is no longer required, we take reasonable steps to delete, destroy, deidentify, or securely dispose of it, subject to technical limitations and lawful retention requirements. Backup copies may remain for a limited period before routine deletion.
10 Data Security
We use reasonable administrative, technical, and physical measures designed to protect personal information. No website, transmission method, or storage system is completely secure, so absolute security cannot be guaranteed. If a data-security incident requires notice under applicable law, Latitude Escapes will provide notice as required.
11 Your Choices and Privacy Requests
You may contact Latitude Escapes to request access to, correction of, or deletion of personal information that we control. You may also ask questions about our use of your information or withdraw consent where processing is based on consent. Rights vary by location and applicable law, and some information may need to be retained for reservations, accounting, fraud prevention, legal claims, or other lawful purposes.
To protect your information, we may need to verify your identity before completing a request. We will respond within the period required by applicable law. To stop promotional email, use any unsubscribe option provided or contact us. Opting out of promotional messages does not stop necessary reservation, transactional, safety, or service communications.
12 Children
The website and direct-booking services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information online directly from a child under 13. If you believe a child has submitted personal information to us, contact us so we can review and, when appropriate, delete it. Information about children included by an adult in a reservation is handled as part of administering that reservation and protecting guest safety.
13 Third Party Links
The website may link to third-party sites or services, including maps, social media, local vendors, payment providers, and booking tools. Their privacy practices are governed by their own policies. A link does not mean that Latitude Escapes controls or endorses a third party's privacy practices.

We may update this Privacy Policy as our services, technology, or legal obligations change. The effective date at the top identifies the current version. Material changes will be posted on the website and, when required by law, additional notice or consent will be provided.
